Frequently asked questions
Short answers on formats, phone photos, accuracy, fixing values, templates and table rows, template versions, languages, teams, quota and storage.
Files and formats
What file formats can I use?
Templates are .docx (with {{placeholders}}) up to 10 MB. Scans you upload to fill a document
can be PNG, JPG or PDF, and a document can have several pages. Finished documents are produced as
.docx and PDF.
Can I photograph a document with my phone instead of scanning it?
Yes. A clear, well-lit photo works like a scan. The flatter and sharper the page, the more values are recognised with high confidence.
Recognition
How accurate is the extraction?
DocuTract reads your scans with OCR and AI and shows a confidence hint on every value (high, medium or low) so you always review before generating. Nothing is final until you confirm it on the review step, and every value keeps a note of the document and page it came from. See Fill a document from scans.
A value was recognised wrongly. What now?
Click it on the review step and type the right value. It is marked edited, and the document is generated with your value. If you notice a mistake after generating, open the document, correct the value and Regenerate; regenerating because of an error is free.
Templates
Do I have to mark every field in Word by hand?
No. Upload a finished document and the AI proposes the fields for you; you keep the ones you want. See Create a template from a finished document.
My invoice has more rows than the template. What do I do?
Nothing special: if the template's item table is set up as a list, you add as many rows as you need
with Add row while filling, and the table in the document grows to match. If your own template
has a fixed number of rows, change that row to {{items.name}}, {{items.qty}} … placeholders (or
recreate the template from a finished invoice and the wizard does it for you). See
Tables with a variable number of rows.
Can I use the ready templates as they are?
They are built to be used as they are: official forms are reproduced from the acts that approve them, and the other documents are written on the basis of the law. Still, every deal has its own circumstances, so for anything important have a lawyer check the result for your case. See Ready-made templates.
I changed a template. What happens to documents I already made?
Nothing. Each document keeps the template version it was built with, and you can see that version in the document list. So if a new document looks different from one you made a month ago, the template most likely changed in between. See Conditional blocks and template versions.
How much does creating a template from a finished document cost?
Creating a template does not use your document quota: the quota is spent only on generated documents. Plans and quotas are described in Billing and plans.
Account and team
Which languages are supported?
The interface, the help centre and the legal texts are available in many European languages; the language switcher in the top bar lists them all. You can switch the language at any time.
Can I work as a team?
Yes. Documents and templates live in a workspace. The workspace owner can invite other people; everyone in the workspace shares its templates and documents, while other workspaces cannot see them. Billing and the monthly quota apply per workspace.
What counts towards my quota?
Only generated documents. Uploading scans, recognition, creating templates and regenerating after an error are free. See Billing and plans.
Where are my documents stored?
Your files are kept in private storage and reached only through short-lived, scoped links; only your workspace can open them. See Privacy and your data and the Privacy Policy for the full picture.
