DocuTract turns document busywork into a single action: you build a template once, then fill it from scans in seconds β with a source recorded for every value. This guide walks you through building a template, filling a document, plans and quotas, and how your documents and data are handled. Getting started
At its core DocuTract takes a .docx template and the scans of a specific case, reads the text, and fills in the right names, dates and amounts β noting the document and page each value came from. Build a template once, fill it as many times as you need.
1. Build a template
Open Templates β New template (or the guided Wizard). You have two ways to give DocuTract your document:
- Import a ready .docx. Upload a document that already contains
{{placeholder}}markers where the variable text goes. DocuTract detects the placeholders and lists them for you to wire up. - Let DocuTract suggest them. Upload a finished, ordinary .docx and DocuTract proposes the places that look like variable text, so you do not have to mark them by hand.
The Wizard guides you through it in three steps:
- Scan types β choose which kinds of scan the template needs (for example a passport or an extract), from the catalogue or by creating your own type.
- Fields β for each scan, pick which fields you want to pull out.
- Example document β upload the .docx; DocuTract reads its placeholders and proposes how each one maps to a source.
Every field gets a source β where its value comes from:
- Scan β read from an uploaded scan.
- System β filled automatically, such as today's date, a document number or the current user.
- Manual β typed in by you while filling.
A template file can be .docx up to 10 MB.
2. Fill a document
Once a template exists, filling it is also three steps:
- Upload β add the scans for each slot. DocuTract reads the text from them (OCR) and pulls out the field values.
- Verify β check the extracted values and correct anything. Each value shows a confidence hint β high, medium or low β so you know where to look first.
- Generate β DocuTract fills the template and produces the finished document. You get a preview and can download it as .docx and PDF.
Accepted scan formats are PNG, JPG and PDF.
3. Fill online from the website
Some templates can be filled straight from a public page on the site, without an account. You fill the document online, see a partial preview, and then sign up and pay once to unlock the finished file β the draft moves into your own workspace so you can reuse it.
Frequently asked questions
What file formats can I use?
Templates are .docx (with {{placeholders}}) up to 10 MB. Scans you upload
to fill a document can be PNG, JPG or PDF. Finished documents are produced as
.docx and PDF.
How accurate is the extraction?
DocuTract reads your scans with OCR and AI and shows a confidence hint on every value β high, medium or low β so you always review before generating. Nothing is final until you confirm it on the Verify step, and every value keeps a note of the document and page it came from.
Which languages are supported?
The interface is available in English, Ukrainian and Russian. You can switch the language at any time from the language switcher in the top bar.
Can I work as a team?
Yes. Documents and templates live in a workspace. The workspace owner can invite other people; everyone in the workspace shares its templates and documents, while other workspaces cannot see them. Billing and the monthly quota apply per workspace.
Where are my documents stored?
Your files are kept in private storage and reached only through short-lived, scoped links β only your workspace can open them. See the Privacy Policy for the full picture.
Privacy and your data
For the documents, scans and templates you upload, you are the controller and DocuTract acts as your processor β we handle that content only to provide the service and only on your instructions. Our Data Processing Agreement governs that in full, and the Privacy Policy explains what we process and why.
- Encrypted in transit and at rest. Every file is protected while it uploads and while it sits on our servers, in private storage reached only through short-lived, scoped links.
- Hosting in the EU or US. You choose the region where your documents are processed and stored.
- Never sold, never used to train models. We do not sell or share your content, and it is never used to train any AI models.
- Sub-processors. To run extraction and deliver the service we use a small set of sub-processors β AI/OCR extraction, authentication and file storage, PDF rendering, a payment processor, and opt-in analytics. The current list is in the DPA.
- Retention. We keep your content while your account is active. If you delete your account, we delete or anonymise your personal data within 30 days, except records we must keep for legal or accounting reasons (such as invoices).

Billing and plans
DocuTract is billed per workspace, and the unit that counts is a generated document.
- Free. Start with 5 documents per month, no credit card required.
- Paid plans. Higher monthly quotas, team features and priority support. See the full comparison and current prices on the pricing page.
- Pay once for a single document. When you fill a document online from the website, you can pay one time to unlock just that file, without a subscription.
The monthly quota counts finished documents and resets each month. When you reach the limit, upgrade on the pricing page to keep generating.
