A template from the document you already have
You do not need to mark up a contract by hand to turn it into a template. Upload a finished document, and DocuTract proposes which parts change from client to client.
Every office already has its templates. They are just not called that: they are last
month's contract with a different client's name, saved as «contract_final_2.docx». Turning
one of them into a real template used to mean opening it and replacing every name, date and
number with a marker like {{full_name}} by hand. On a ten-page agreement that is an
afternoon, and it is easy to miss the one date on page seven.
That step is now optional.
Two ways in
When you create a template you choose how to give DocuTract your document:
- A document with markers. If you already use
{{placeholder}}markers, upload the file and DocuTract finds them and lists them for you to connect. - An ordinary finished document. Upload the contract exactly as it was signed. DocuTract reads it and proposes the places that look like data about a particular client or deal: names, dates, document numbers, addresses, amounts. You look through the proposals, keep what is right, drop what is not, and they become the template's fields.
Everything else stays as your lawyer or accountant wrote it: the wording, the formatting, the fonts, the numbering of clauses.
The wizard, step by step
The Wizard walks you through it in three steps:
- Scan types. Which documents will this template be filled from: a passport, a registry extract, a vehicle registration. Pick from the catalogue or describe your own.
- Fields. For each scan, which values you want read from it.
- Example document. Upload the .docx. DocuTract matches its fields to the values from step two and shows you how each place in the document will be filled.
Each field gets a source. Scan means it is read from an uploaded document. System means it is filled on its own: today's date, a document number, the person preparing the document. Manual means someone types it while filling.
What happens to the document you upload
The text of the example document is analysed by the same AI provider that reads your scans, under the same terms: it is used to prepare your template, and it is never used to train models. Which provider that is, and where it processes data, is listed in our Data Processing Agreement.
Where to start
Take the document your team retypes most often, the one that already exists in ten slightly different copies, and upload the cleanest of them. A template file can be up to 10 MB. The full walkthrough is in the help centre.
